Payroll
Payroll processing for small businesses
Pay runs that go out on time, withholdings calculated right, and the quarterly paperwork handled before it is late. Run by Robert Guararra for East Valley employers.
What you get
What payroll processing covers
Payroll is the one part of the books where being late costs money immediately. This is the part Robert takes off your desk first.
Pay runs on your cycle, whether that is weekly, biweekly or semimonthly
Direct deposit set up and maintained for each employee
Federal income tax and FICA withholding calculated every run
Arizona state withholding and unemployment tracked
Quarterly federal and Arizona payroll tax filings
New hire reporting whenever you add someone
W-2s for employees and 1099s for contractors at year end
Payroll posted straight into your books, not reconciled later
How a pay run works
Four steps, every cycle
You send hours, or your team enters them where they already do.
Robert checks the run for anything out of pattern before it goes out.
Pay lands by direct deposit on your normal date.
The payroll entry posts into your books the same day.
Who it is for
Employers who would rather not be the payroll department
You do not need a big team to need payroll done properly. One employee is enough to trigger every filing requirement that a hundred would.
One to five employees
Five to twenty-five employees
Hourly crews
Salaried teams
Mixed W-2 and 1099
Seasonal staffing
First-time employers
Getting started
How we start
01
Free consultation
A call about your team, your pay cycle and who currently does what. No charge and no pitch.
02
Scope in writing
Before anything runs, you get it in writing: which filings are Robert’s and which stay with you.
03
Setup and first run
Employee records, deposit details and tax accounts get set up, then the first run goes out with Robert watching it.
04
Every cycle after
Pay goes out on schedule and the quarterly filings happen without you tracking the dates.
Questions
Payroll questions we get asked
Do you file the payroll taxes, or only calculate them?
Both are on the table, and the split is agreed in writing before the first run so there is never a question about who was supposed to file what. Robert will tell you plainly which filings he takes on for your setup and which are better left with your CPA.
How much notice do you need before a pay run?
Hours a couple of business days before payday is comfortable. Robert will set the exact cutoff with you at setup and it stays the same every cycle, so it becomes routine rather than something to remember.
Can you handle contractors as well as employees?
Yes. Contractors are tracked separately through the year so the 1099s at year end are already right rather than reconstructed in January. If you are unsure whether someone should be W-2 or 1099, that is worth a conversation before they start.
What if I already use a payroll provider?
Plenty of clients keep theirs. Robert can run payroll inside the platform you already pay for and make sure it posts correctly into your books, which is usually where the errors actually are.
What happens at year end?
W-2s and 1099s are prepared and issued, and the payroll totals are reconciled against the books before anything goes to your CPA. Year end stops being an event when the quarters were right.
Service area
Payroll across the East Valley
Robert focuses on employers in seven cities around Fountain Hills, but payroll is remote work, so employers farther out are welcome too. Your location only matters for the state filings.
